Formal requirements

On this page you can find all relevant forms and information that you will need in regards to a study abroad as a free mover. Please hand in the respective forms at the International Office or at the Examination Office before, during and after your return from the study abroad.

In order to avoid any problems or misunderstandings please make sure that you

  • fill out all forms electronically (handwritten completed forms will not be accepted)
  • give correct and complete information
  • obtain the respective signatures on each form
  • make a copy of each form for your files
  • hand in the original documents up to the due date.

Academic Recognition / Learning Agreement

To make sure that your academic achievements at a host university will be recognized at Leuphana, it is highly recommended to set up a Learning Agreement before your study abroad.

If possible, this should be sent to the International Office for approval before the start of your stay abroad, and at the latest 5 weeks after the start of lectures at your host university. If there are any changes in the study plan after your arrival at the host university, you must complete an additional Modified Learning Agreement and send it to the International Office for approval within 5 weeks of the start of lectures at your host university. The modified learning agreement shows your final choice of courses at the host university, i.e. all the courses you will attend.

On the Learning Agreement, please: (1) electronically fill in all modules/courses you wish to attend at the host university (2) electronically fill in the Leuphana modules you wish to have recognised via these courses (3) obtain the signatures (or email confirmations) from the responsible persons to confirm that your chosen courses will fulfil the Leuphana requirements.
Courses for which you do not wish to apply for recognition should be identified as an "additional course" (no signature required). If, in the modified learning agreement, you list a course already approved in the first learning agreement, please indicate this in the signature field. In order to check the eligibility for recognition, those responsible persons need course/module descriptions.

Please submit the fully completed and signed Learning Agreement in the original, or the modified Learning Agreement as a pdf with associated email correspondence also in one pdf to the International office, where it will be verified and signed.

Please do not use Learning Agreement forms from host universities.

2. Notification of a semester abroad / Application for a leave of absence

You should announce your intention of studying abroad latest by the end of the re-registration period for the following semester. Whether you use a notice of a semester abroad or apply for a leave of absence depends on different factors. You can find relevant information in the following forms. Generally a notice of a semester abroad is used.

3. Transcript of Records

Foreign universities usually require a Transcript of Records in English language. The student service will issue these on request.

 

4. Experience report

The experience report gives all outgoing students the possibility to evaluate their study abroad in hindsight. It gives you a way to express personal experiences, praise, criticism, suggestions for improvement and recommendations. The experience reports help to improve the service, but are also an important source of information for students interested in studying abroad. They can provide these students with assistance during their primary orientation as well as help them with concrete plans and preparations. All reports that are released for publication are available for anyone interested at the information desk of the International Office.

Notification of semester abroad / Application for a semester leave of absence

You should announce your intention of studying abroad latest by the end of the re-registration period for the following semester. Transcript of Records

Foreign universities usually require a Transcript of Records (proof of your completed examinations) in English language. The Student Service will issue these on request.

Experience report

The experience report shall be filled out by all outgoing students after completion of their study abroad, signed and handed in at the International Office within four weeks of the completion of the study abroad, latest by 15 July.

These experience reports are an important source of information for students who are planning a study abroad, both as a first orientation as well as a part of specific preparations for such a study abroad. All reports that are released for publication are available at the information desk of the International Office.

Additionally, these reports are used to evaluate the study abroad, since they give important information on the quality of the programs.
